Class Roster Fall

1.Introduction #

This workshop will assist in auditing and reviewing data at the LEA for Fall Class Roster snapshot information, counts, codes to help ensure accuracy, prior to submitting file to TSDS/TEA. Getting Started: Log in to your OnDataSuite Account
  •        Chrome is preferred browser.
  • URL/User name/PW – provided by your local OnDataSuite Manager/Admin

2.File Center #

Class Roster (CR)

The purpose of the Class Roster Collection is to collect the information required to link a student’s assessment results to the teacher who provided the associated instruction. This data is accessed through the student assessment portal by teachers and principals. This collection also enables the vendor to return assessment results to TEA at the class roster level.

Class Roster (CR) Collection

This collection includes organization, staff identification and demographics, class assignment, student identification and demographics, and class enrollment data. The Class Roster Submissions are:

File Center

Data Source (s)

  • Class Roster – Fall TSDS – Student Information System (SIS) / Business Information System (BIS) / State Reporting / xml files (extracted)
  • Check file uploads 
    • scroll toward the bottom of the upload screen to view list of files uploaded
    • PEIMS files – click on file to open up and see list of interchanges/sections.

 

NOTE: Current year Class Roster – Fall TSDS files will be in “preliminary” status until this data collection is complete.

Contact your OnDataSuite Administrator if current files need to be loaded.

Fatals/Warnings/Specials

  • Drill down to Business Rules:

  • Excel ALL details – for the TSDS view of ALL edits

Or

  • Select Edit # to Drill down to details for just this edit

Tools ( top right) -export to excel and make corrections in the “source” – SIS / BIS

4.Student #

Locate  “Student” on the blue menu bar to view Class Roster data.

4.1.Class Roster Fall Enrollment AdHoc Reports - Student Report Center #

  • Choose any of the following Criteria to search the data.

Criteria 1 – Campus ID

Criteria 2 – Teacher

Criteria 3 – Class ID Number

 

 “Report Options” 

  • Bookmark – saves the report and enables sharing
  • Export to Excel
  • Show Percents 
  • Turn on heatmap – aid in looking for data anomalies
  • Graph Control – provides options for visualizing data

 

5.Bookmarks #

Bookmarks – Black Menu Bar at top

Enter Search Criteria – “22-23”, or “CRF”, or “Class Roster”

Run each report and verify the data that is being submitted for each teacher’s service IDs, each classroom attributes, each student’s class schedule.

Submit Ticket – Use to enter a question, problem, or feature request with detailed information and click “Submit Ticket”.

As you type in the Subject box, the Knowledge base search results appear to the left to help with answering questions before submitting a ticket.
