Class Roster – Fall

1.Load Class Roster - Fall-Files #

Extract the following xml following file(s) from the Student/Staff Information System(s) (SIS) for the Class Roster Fall Submission.

NOTE: If the Student/Staff files come from different databases, please place all xml files in the same folder prior to loading.   Upload Class Roster – Fall – files into OnDataSuite
  • Log into OnDataSuite
  • Go to Support/Data Sources – (see screen shot below labeled steps 1-2)
  • Click on blue “Class Roster” tab -(step 3 in screen shot below)
  • Select the blue hyper linked above the upload tab, if  additional instructions/screen shots are needed. (step 4 – screen shot below)
  • Select the green “Upload” tab . (step 5)

  • Browse to CRF files – maybe zipped or unzipped.
  • Click “Open” to send files into OnDataSuite
 
  • Once the OnDataSuite screen displays the list of xml files, check the column drop downs.
    • Year = 2021-21
    • Submission = Fall
    • Preliminary
      • “Check” if this is not the final file going to TEA
      • Leave “unchecked” for the final file
    • Process – Load data and run edits
  • Start Upload – green tab ( screen shot above)
  Lastly, when the upload is complete, click on the CR F row for 2021-22, to open and display which files loaded.

2.TSDS Rules - Edits #

The TSDS Business Rules ( Edits) have an additional more convenient location! – Top blue menu bar

  • Select TSDS Rules
  • Select “Class Roster Fall” on the left-black navigation menu
  • Click on “Fatals/Warnings/Specials” to see the list of edits triggered

 

  • Click on the blue “Business Rule” hyper link to see the list (details).
  • “Excel All Details” provides export with ALL of the triggered business rules for Fatals or Warnings or Specials.

NOTE: All clean up/changes must be done in the Student/Staff Information System(s).

The data in OnDataSuite can only be changed by uploaded a new set of xml interchange files.

3.Review Class Roster - Winter- Data #

Use STUDENT Report Center and STAFF Report Center to create adhoc reports. (Bookmark/Share)

NOTE: If year 2020-21 is not available, this means the Class Roster-Fall data is not loaded in the file center.

    • Student Report Center
    • Class Roster Fall – 2021-22
    • Criteria 1
      •  “Grade”/”Campus” (filters available)
    • Criteria 2(optional) – “Pop Served”

Review NOTES- Student

  •  Grades 1 – 12 only (EE and PK are NOT included in FALL Class Roster)

    • Student demographic data
    • UID
    • Student ID
    • Local ID
    • First, Middle and Last name
      Generation code

  • Student Enrollment Extension

Staff tab

    • Staff Report Center
    • Class Roster Fall – Filter for 2021-22 ( optional)
    • Criteria 1 – with filter options
      • Criteria 2 (optional)

Review NOTES – Staff – Role IDS – 087 (Teacher)  and 047(Sub) only
