Summer PEIMS Submission Review – Accountability

1.Training Overview #

This training will address various Accountability areas affected by Summer PEIMS data.

  •  Accountability

2.File Center #

The Summer PEIMS TSDS interchange files must be uploaded into the file center in order to review the data.

  • These TSDS Summer PEIMS XML interchange files can either originate from the SIS, (recommended) or the CSVs can be retrieved from TSDS.

Log into OnDataSuite using Chrome as the browser.

Uploading Summer PEIMS TSDS Interchange files

  • Go to the ‘File Center’ link located at the top of the screen in the black menu bar.
  •  Click on the ‘Data Sources’ link located in the black sub-menu bar.
  • Select the PEIMS blue button
  • Use the green “Click to upload PEIMS files” tab to browse to the Summer TSDS PEIMS interchange files created by the Student Information System (SIS)

NOTE: User must have access to load files in order to see the upload tab

  • Browse to either a zipped (not password protected) or unzipped file.
    • Make sure the file type is “All” at the bottom right of the browse screen.
    • Select ALL interchange files to be loaded at once
    • The order does NOT matter.

NOTE: Subsequent file uploads will completely wipe and replace all files currently loaded for this submission/year.

Select upload “options”

  •  Upload labels/options:
    • Year = 2022 – 2023
    • Submission =  Summer
    • Preliminary  = Flags the file to remind users that changes are to be expected. If unchecked, file will be labeled as “Final”.
    • Reporting Period – Available only for Summer files to indicate how many six weeks of data are included in the file.
    • Process
      • Load data and run edits – data will be applied to all reports and the business rules
      • Run edits only – data will only be applied to business rules
      • Load data only – data will be applied to all reports but the business rules will not be processed

NOTE:  You may load multiple Summer PEIMS files if they are “loaded” differently!

      • First upload a file for “Load data and run edits” 
      • Next upload a file for “Run edits only”

    • Delete – a specific file before processing.

START Upload

When the file upload process is complete, the system will automatically combine all interchange files into 1 Summer PEIMS file and parse the various elements to the appropriate tables.

Review Uploaded File(s)

Scroll toward the bottom of the screen to view a list of all the files that have been uploaded by Submission and date. The file status will show final or preliminary according to the selection made when loading the file. The administrator that uploaded the file is also listed.

Locate the Info, Edits, or Data icon located to the right of the file

  • This shows the TSDS Interchange Summary on left-hand side
    • “OK” – interchange file existed and was loaded
    • “Not Found” – interchange file was not included in data load
    • “Dependency error” – part of the data for the interchange file is missing

Scroll further down to the bottom of the Event Viewer, on right-hand side

  • Under Reporting Periods, change the status of “Final/Preliminary”, as well as the number of 6 weeks included in the file, using the “Click to change the reporting period” button.
  • File can be renamed under the Edit file name section, “Click to change” button.

    • Students pulled from summer submission
  • CCMR PEIMS Checklist 
    • Filter – “Summer Submissions”
        • Associates Degree = 1
        • Post Secondary Certification Licensures = Code table 214 options (as per TEA)
        • College Prep ( ELA/Math)
        • Dual Credit
          • College Hours = 3 ( ELA/Math) or 9 for any subject
          • Checked across multiple years (using CCMR calculation)

A-F Rating System

Student Achievement Domain

  • College, Career, and Military Readiness  (Graduates only)
    • Meet Texas Success Initiative (TSI) Criteria in ELA/Reading and Mathematics. A graduate meeting the TSI college readiness standards in both ELA/reading and mathematics; specifically, meeting
      the college-ready criteria on the TSI assessment, SAT, ACT, or by successfully completing and earning credit for a college prep course as defined in TEC §28.014, in both ELA and mathematics. – Summer
    • Earn Dual Course Credits. A graduate completing and earning credit for at least three credit hours in ELA or mathematics or at least nine credit hours in any subject. – Summer
    • Earn an Industry-Based Certification. A graduate earning an industry-based certification under 19 TAC §74.1003. – Summer
    • Earn an Associate’s Degree. A graduate earning an associate’s degree while in high school. – Fall and Summer

Closing the Gaps Domain

  • Student Groups
    • Current and Former Special Education Students Receives or received special education services in any of the preceding three years – Summer PEIMS (or STAAR)
    • Current and Monitored English Learners (ELs) Current emergent bilingual students and monitored ELs through year 4
  • College, Career, and Military Readiness Performance Status (Graduates plus students in grade 12 who did not graduate and were in attendance during last six weeks of prior year)
    • Same indicators in Student Achievement Domain

OnTAPR

  • Student Mobility Rate Report – Uses TAPR mobility rate calculation
    • Students considered to be mobile based on membership percentages being less than 83% at a campus

3.3.Results Driven Accountability (RDA) #

Review the “Indicators” that have information pulling from Summer PEIMS data.  NOTE: Use Student Report Center to create Ad-hoc reports as needed.

Rates use Grade, Attendance and Special Pops from Summer PEIMS

  • BE/ESL/EL Indicator #9: EL Graduation Rate
  • BE/ESL/EL Indicator #10: EL Annual Dropout Rate (Grades 7-12)
  • OSP Indicator #4: OSP Graduation Rate
  • OSP Indicator #5: OSP Annual Dropout Rate (Grades 7-12)
  • SPED Indicator #6: SPED Graduation Rate
  • SPED Indicator #7: SPED Annual Dropout Rate (Grades 7-12)

SPED Discipline Indicators

  • SPED Indicator #14: SPED OSS and Expulsion <=10 Days Rate (Ages 3-21)
  • SPED Indicator #15: SPED OSS and Expulsion > 10 Days Rate (Ages 3-21)
  • SPED Indicator #16: SPED ISS <= 10 Days Rate( Ages 3-21)
  • SPED Indicator #17: SPED ISS > 10 Days Rate (Ages 3-21)
  • SPED Indicator #18: SPED Total Disciplinary Removals Rate (Ages 3-21)
    • These indicators use the following data pulled from Summer PEIMS
      • SPED
      • Age (Birthday)
      • Attendance
      • Discipline Action Codes/Days

3.3.1.RDA Student Profile #

  • Drill down on a value in any of the RDA Indicators to see a detailed student list

  • Drill down on any students’ SID (must have access to Student Details)

  • Accountability>Results Driven Accountability – Review if student negatively or positively impacted any RDA indicator

3.4.Data Validation Monitoring (DVM) #

Discipline Data Analysis

These Indicators use Discipline information from Summer PEIMS data: Action Codes, Action Reason codes, Behavior Location Codes,  and Actual Length of Disciplinary Actions for the calculations as per the Discipline Data Validation Manual.

A few indicators use the Birth Date to calculate the students age as of Sept 1.

Additionally, some of the indicators also use Attendance, to get a cumulative count of students served, from Summer PEIMS data Attendance records.

Example: #5 – High Number of Discretionary DAEP Placements

 

Example: #6 and #7 Discretionary DAEP Placements for African Americans and Hispanic, respectively, use the Race/Ethnicity data reported in Summer PEIMS.

DVM SUMMARY Reports

  • Discipline All DVM – Single report to view all Discipline data validation indicators with the numerator, denominator, and percent broken down by district and campuses.
    • Note: Not all reports have a denominator

4.Ad- Hoc Report Building #

Student Report Center

  • Summer Enrollment 
    • Year Options – Leave blank or select which ones to apply
    • Add Criteria = “Post Secondary Certification Licensure” – (Filter as needed)
    • Create Report

 

  • Graduation Plan
    • Criteria 1= “IGC” – Filter = “00” and “01”
    • Critera 2 = “Campus”

  • Disciplinary Incidents
    • Criteria 1 = “Disciplinary Action Code” – Filter “05” & “25”
    • Criteria 2 = “Actual Length”

Report Options – black box left side

  • Export to Excel
  • Edit Report – make year, criteria or filter changes
  • Bookmark – saves the report and enables sharing
  • Show Percents
  • Zeroes – shows codes with zero counts
  • Graphing – provides options for visualizing data
  • Turn on Heatmap – aid in looking for data anomalies

Student>Student Custom Reports>AVID folder

  • Reminder: Use Tools>Report Info to review information on how a particular report operates

  • Requires File Center uploads for Elementary and Middle School Students
    • Elementary – current year only
    • Middle School – current and prior year
