Fall PEIMS Accountability Data

1.Training Overview #

The training is intended to review FAll PEIMS data that is used in various Accountability measures such as A-F/ College, Career, and Military Readiness (CCMR), Performance Based Monitoring Analysis System (PBMAS) and Data Validation (DVM) indicators to proactively address potential triggers or respond to interventions.

2.File Center #

OnDataSuite File Center

  • Both Fall and Summer PEIMS TSDS interchange files need to be uploaded into the OnDataSuite file center for the current year.(Preliminary files recommended!)
  • The TEA Cohort list(s), both Preliminary and Longitudinal should also be loaded, as well.


View File Center
Locate the ‘file center’ link located at the top of the screen in the black menu bar, then click on the ‘Data Sources’ link located in the black sub-menu bar.

  • To View PEIMS files loaded, select PEIMS-TSDS tab and scroll to the bottom of the page.

  • To view the CCMR files that have already been uploaded, select the TEA CCMR tab and  scroll to the bottom of the page.
  • To view the TEA Cohort files that have already been uploaded, select the TEA Cohort List tab and  scroll to the bottom of the page.

Upload Data Files
If a more current files are available, contact the OnDataSuite Administrator to request the upload(s). Instructions for locating and loading files available at manuals.ondatasuite.com.

3.Accountability #

3.1.A-F/CCMR #

CCMR – College, Career, Military Ready Folder

 

Student demographics data

  • Grade
  • Date of Birth – match SAT/ACT
  • Gender

Student Groups data 

  • Race/Ethnicity Groups
  • Economically Disadvantaged – ECO Dis membership/membership
  • English Learners – LEP Current & monitored
  • Special Education – currentl/former (past 3 years)
  • Snapshot  – Continuously Enrolled – 3 years for grades 4-12 and 2 yrs for 3rd grade
    • Not Continuously Enrolled
  • Graduation Status – ( Leaver data/Fall)

CCMR Criteria – FALL

  • Associates Degree – prior to grad
  • *Industry Certification -Post Secondary Licensures
    •  Graduates – (Leaver) 
    • Current year students ( Fall -started 2019-20)
  •  SPED Graduate  -(Leaver )
    • IEP -04, 05, 54, or 55
    • Advanced Degree 
      • 31 – Recommended
      • 32 -Distinguished
      • 33/34 + FHSP Distinguished (02-completed) AND any FHSP Endorsement (02 – completed)
  • Armed Forces – Graduates  – (Leaver data) – Military Enlisted E1589 (intent/ document)
  • * CTE – Service IDS for Coherent Aligned IBC + Participation codes (2) 
  • Graduates –  (Leaver code 01)

  • IEP Continuer

      • Student Achievement Domain – Detail
        • CCMR Criteria Section
          • Industry Certification – Graduates (Leaver data) – TEA list
          • IEP – SPED Graduate codes (Leaver data) -04, 05, 54, or 55
          • Armed Forces – Graduates (Leaver data)
          • Aligned CTE-(Fall) = code 2 and Service ID from TEA list
        • Graduation Rates Section
          • Race/Ethnicity Groups
          • Economically Disadvantaged – ECO Dis membership/membership
          • English Learners – LEP current/monitored
          • Special Education – currently

3.2.PBMAS (Performance Based Monitoring) Reports (RDA) #

Locating the PBMAS Reports

PBMAS reports are located on the Accountability tap, in the bottom left quartile,  titled Performance Based Monitoring

Bil/ESL folder – Students enrolled on snapshot for all indicators

CTE folder – Students enrolled on snapshot for all indicators

ESSA Folder – Students enrolled on snapshot for all indicators

SPED folder – Students coded enrolled for all indicators

3.3.DVM (Data Validation Monitoring) Reports #

Open Leaver Data Analysis folder and review reports.

4. Student - Leavers and Preliminary Cohorts #

4.1.Dashboard #

Fall Dashboard may be viewed for current and/or previous years at the District or Campus level, depending on access.

  • Check the Not Enrolled on Snapshot for students who may become “dropouts”.

 

 

  • Student Dashboard/Profile

From a student list, drill down to an individual Student Profile by clicking on “View Profile” or “xxxxxxxxx”, located on the “SID” ( Student Identification) column. – left side

  • Student Information – Overview tab displays student Cohort Information, bottom left, as well as other student PEIMS data. Use Print at the top left corner to make a hard copy.

4.3.Student Report Center - Ad Hoc #

Reports to Create: 

General/9th Grade Cohort 

  • Criteria 1= “Reason Student Left Class”  (as per data in cohort file)

NOTE: There is no grade level criteria, but a focus list or add column maybe used.

  •  Criteria 1= “Reason Student Left Class” + Filter = “98” (other)
    • Criteria 2 = “Ethnicity / Race”
      • Add column-PEIMS/Leaver/Leaver reason/same year

Reason Student Left Class Key

  • 8X- Possible Transfer = Students previously enrolled but final status never reported. No re- enrollment record or leaver record. Some students who left return and leave again may be       counted here.
  • XI – Possible Enrolled = Student who have reached their graduate year but are reported as enrolled on a PEIMS 110 record. (Rather than a PEIMS 203 leaver record)
  • XX- Possible Drop Out = Total of students submitted in Fall PEIMS with an as of status of “C, G or E” and students reported in Summer PEIMS with as of status of “I”

General/4 year Longitudinal Cohort  (select year filter, if desired)

  • Criteria 1= Grad Status

 

Fall/ Leavers-  Pulled from the Fall PEIMS file.

NOTE: Leaver year, refers to the year the student left the district, NOT the year in which the data was submitted. Also, the data only pulls for 7-12th grades.

  •  Criteria 1= “Leaver Reason” – * year denotes the year students left/not year reported
  • Criteria 1= “Graduation Type”
    • Criteria 2 = “Special Education”
  • Criteria 1=” Leaver Reason”– filter for “Other” (98)
    •  Criteria 2= “As of Status”

(Dropouts?)

  • Criteria 1= “Post Secondary Licensure” (CCMR – Industry Based Certification) 
  • Criteria 1= “Military Enlisted” (CCMR = US Armed Forces)
  • Criteria 1= “Campus” or “Grade Level”

 

CTE Enrollment

  • Criteria 1 = “CTE Course Service ID”  (Filter – Cert Courses and AP Courses)
    • Criteria 2 = “Career and Technology Ed” ( Check for CTE code 2) – CCMR
