New Use Training – Student/Staff Dashboard and Profile

1.Training Overview #

This training is designed to provide an overview of the basic functionality and location of OnDataSuite’ s various Dashboards.

At the end of this training users will have a basic understanding of the following key system components:

  • Log in and access for user accounts
  • Data Sources
  • Student and Staff Dashboards/Profiles
  • OnPar
  • OnView
  •        OnBoard
  •        Best Practices
  • Support/Training

2.What is OnDataSuite #



OnDataSuite – is data warehouse that is comprised of four (4) powerful suites : OnPoint, OnPar, OnView and OnBoard




OnPoint – The OnPoint data warehouse is based on the upload of various files from multiple district accessible sources. Once uploaded, these files provide “at a glance dashboard views”, an intuitive report builders, as well as hundreds of premade reports. All reported values in OnDataSuite have been designed to drill down to the student or staff level from the aggregate count.




OnPar –
 Using the powerful OnPar reporting system, users can view their state released Texas  Academic Performance Report (TAPR) results, as well as published finance data. Use the Peer List feature to compare information with any other district or campus in the state.



OnView – Publish the latest TAPR results on the district/ESC website.   Once published, visitors to your site will be able to access the same interactive overview dashboard items displayed in your OnPar/OnView Dashboards.


OnBoard provides a high level view of the district’s current and historical data intended for user by school board members.

3.Accessing OnDataSuite #

Accessing OnDataSuite
The OnDataSuite data warehouse resides on a secured web server and can be accessed only after you have been granted permission and user rights through the district’s designated system administrator.

Logging In
To access the data, you will need an internet connection and access to a web browser. The district’s designated OnDataSuites Administrators will provide the URL, User name and password for logging into the system.

OnDataSuite supports the following web browsers:

  • Chrome version 44 or higher – (Preferred Browser)
  • Firefox version 40 or higher
  • Safari version 8 or higher
  • Internet Explorer version 11 or higher

Forgotten Username / Password
If you have forgotten your username or password, please contact your local ODS Administrator to reset.


SOC 2 Certified – for assured secure data

  •  The criteria for managing customer data based on five “trust service principles”—security, availability, processing integrity, confidentiality and privacy-have been met and certified.

4.OnPoint #

4.1.Account Information #

To access your account settings, look for the 3 horizontal bars located in the top right corner of screen. This is sometimes referred to as the “hamburger menu”.

There are two types of access from within the user account settings.

  • Users assigned as “Administrators” for OnDataSuite will have access to system setup and permissions.
  • End Users will have access to the“My Account” for their personal profile.

4.2.My Account #

My Account

  • Located on top right of black menu bar- three horizontal bars (Hamburger menu)
  • Select My Account







  • Select “Your Profile” icon

Change your password. Type  New Password, Confirm Password,
and click “Update”


  • Select “Job Title/Areas of Interest” Icon

NOTE: Click on “Update Settings” to save changes.


  • Select “User Settings”

Click the “Show Me” button to  enable options for dashboard display.

Select the desired view. Maybe changed at any time.

5.File Center #

File Center

Located on the black menu bar at the top of the screen.

  • Data Sources – each blue box represents a data file(s) type that can be uploaded into OnDataSuite/OnPoint.

To see what files have/have not been loaded, click on the desired box, and scroll toward the bottom of the screen. The list of files, and “dates” that have been uploaded into the system and will be used to populate the reports, will display.

BEST Practice:  Know how current the data sets are and what has been loaded. Contact ODS administrators to load additional files as needed and as they become available.

6.Profiles #

The Student and Staff Profiles will display data on each person by using the available tabs/sub tabs.

The data comes from the files that have been loaded into the file center. If data is missing, most likely the file with that information has not been loaded.

  • Search

  • Student/Staff list

The user can click on the SID column of any staff or student list.

6.1.Student Profile #

  • View student profile:
    • NOTE: Account access to view “student details” is required.


6.1.1.Student Information #


 Dashboard pulls data from the most current Student Images, PEIMS (Fall/Summer) STAAR, and Cohort files loaded.

Goals are set by users who have “Administrative” Access.

Focus List are created by the individual user or “shared” to the user and can be amended on this screen.

Print screen available  – top right corner – for student files and/or parent conferences.



Displays data from Fall PEIMS Leaver record for the year the student graduate, not the year the data was reported.



Displays data from Summer PEIMS files for FHSP, Distinguished and Endorsements status for each year.


Title 1

Title 1 data pulls both from Title 1 Campus information, as well as students recieving specific title 1 serves. Example: Homeless.


Course Completion

Students current/past Course data from Summer PEIMS.

Failed courses are color coded


CTE Hours

CTE Hours  pull from Summer PEIMS for current and prior years, as the data is loaded.


SPED Hours

SPED Hours pulls from Summer PEIMS files for current/prior year data loaded.

6.1.2.Enrollment #

PEIMS Snapshot

Various student coding across multiple years from Fall PEIMS.


PEIMS Summer

Various Codes from current and historical Summer PEIMS files.


PEIMS Basic Attendance

All data pulls from Summer PEIMS files by six weeks (reporting period).

Prior year is available by scrolling down.


SPED -Special Education

SPED data is populated from Fall PEIMS files based on snapshot coding for Special Education students.



Summer PEIMS files are the source for student restraint data.



Data elements are pulled from FAll PEIMS snapshot file for CTE students and displays multiple years if the files have been loaded into the system.



Data will display from the TEA Cohort file(s) loaded from TEAL/Accountability for any student who has been placed in a 9th grade cohort.

6.1.3.Assessment #

Each tab under assessment will pull data from the specific file for each test result(s) as the files are loaded into OnDataSuite/OnPoint file center.

Performance Based Monitoring – PBM

If a student is counted in the numerator (Passed) and denominator (Taken) of a PBM indicator, they will be shown in yellow and detailed information will provide more information of the associated PBM indicator(s) will be listed

If a student failed for any indicator, they will be highlighted in red and detailed information will provide more information of the associated PBM indicator(s) will be listed

6.1.8.CCMR #

College, Career and Military Readiness (CCMR)

Three columns will display as follows:
College, Career, and Military Readiness (EWS)
Overview of calculated uploaded raw data files used in the Early Warning System (EWS). These results follow the manual calculation requirements of the CCMR credit distribution process but are are not bound to all requirements.

Example: The manual requires only 12th Grade graduates be included for CCMR Credit point distribution, but this CCMR EWS report allows for the calculation of CCMR point accrual at all grade levels.

College, Career, and Military Readiness (ODS)
Overview of calculated uploaded raw data files used in the A-F Domain 1 CCMR report. These results follow the manual calculation requirements of the CCMR credit distribution process to determine CCMR point accrual.

College, Career, and Military Readiness (TEA)
Overview of officially released TEA CCMR report provided through the Texas Education Agency (TEA) TEAL report.

6.2.Staff Profile #

  • View staff profile: by:
    • Locate staff from a staff list or by using “Search”
    • Clicking on the staff id or “View Profile” hyperlink.

NOTE: Account access to view an individual staff profile required.

7.OnPar #

OnPar is a powerful multi-year trend analysis and comparison tool that allows users to view their publically released data with other districts and campuses in the state via reports and graphs.

Initial OnPar Dashboards default to a multi tabs view of district  TAPR results.

8.OnView #

OnView is a component of OnDataSuite that allows districts to publish an interactive Dashboard to the district’s website for public viewing. The data will pull directly from the OnPar dashboard, which is publicly released data from TAPR results.

9.OnBoard #

Dashboard created with School Board Members in mind.

10.Support/Training #


  •  Located at the top right portion of the OnDataSuite screen upon log in.
  • Please provide as much detail as possible, including a screen shot and detailed description of location of report, criteria used, and what specific issue is occurring.

MANUAL – Icon 

  • Directs user to the OnDataSuite user Manual that includes a search feature to enable user to quickly locate area(s) of information.
