1.Training Overview #

This training is designed to provide an overview of the basic functionality and location of Student and Staff profiles in OnDataSuite/OnPoint. It contains granular level data and requires access to Staff/Student details.

At the end of this training users will have a basic understanding of the following key system components:

  • Log in and access for user accounts
  • Data Sources
  • Student and Staff Dashboards/Profiles
  • Support/Training

2.Logging In #

Accessing OnDataSuite
The OnDataSuite data warehouse resides on a secured web server and can be accessed only after you have been granted permission and user rights through the district’s designated system administrator.

Logging In
To access the data, you will need an internet connection and access to a web browser. The district’s designated OnDataSuites Administrators will provide the URL, User name and password for logging into the system.

OnDataSuite supports the following web browsers:

  • Chrome version 44 or higher – (Preferred Browser)
  • Firefox version 40 or higher
  • Safari version 8 or higher
  • Internet Explorer version 11 or higher

Forgotten Username / Password
If you have forgotten your username or password, please contact your local ODS Administrator to reset.

  •  The criteria for managing customer data based on five “trust service principles”—security, availability, processing integrity, confidentiality and privacy-have been met and certified.

3.My Account #

My Account is utilized by the end user to update/change a few key areas.

  • Located on top right of black menu bar- three horizontal bars (Hamburger menu)
  • Select My Account

 

 

 

 

 

 

  • Select “Your Profile” icon in the black navigator menu – left – to change your PW.

 

  • Select “Job Title/Areas of Interest” Icon – to be included on the listservs of your choice. ( Steps 1-5 and click update at the bottom of the screen.)

NOTE: Click on “Update Settings” to save changes.

 

  • Select “User Settings” – in the black navigational menu-left- to change functionality.
    • Fall/Summer Dashboard view
    • Open each new report/screen in a new tab.
    • Change color scheme from light/dark mode.

  • Completed Trainings allows you to print a certificate for any recorded sessions viewed. Not applicable for attending a live session.

4.File Center #

File Center/Data Sources is located on the black menu bar at the top of the screen. The data loaded/not loaded will determine what will display on the staff/student profiles.

  • Data Sources – each blue box represents a data file(s) type that can be uploaded into OnDataSuite/OnPoint.
    • Select any data source box
    • Scroll toward the bottom of the screen.
    • View the list of data files that have been uploaded into the system.

BEST Practice:  Know how current the data sets are and what has been loaded. Contact ODS administrators to load additional files as needed and as available.

5.Profile Location #

Locating students or staff dashboards – Must have Staff/Student detail access

  • Method 1: Search

 

  • Method 2: Student/Staff list

Select the SID column for staff/student from any report that displays a list of students or staff. – left column

Use “Search” on a staff/student report to locate individual.

5.1.Student Profile #

  • The system will default to either the Student Info/Overview tab, or the last tab you visited for this student.
  • Reminder: Account access to view “student details” is required.

 

5.1.1.Student Information tab #

Overview

 Where does the data come from? The most current file loaded in File Center/Data Sources. ( No data=no file)

    • Student Image – Vendors file
    • Demographics – Fall/Summer PEIMS ( leaf/sun icon)
    • Attendance – Summer PEIMS
    • Discipline – Summer PEIMS
    • Other Student info – Fall/Summer PEIMS ( leaf/sun icon)
    • Program status -Fall/Summer PEIMS ( leaf/sun icon)
    • STAAR Assessment – STAAR answer doc file
    • 9th Grade Cohort Status – TEAL/Accountability/ Prelim 4 year Longitudinal files
    • Focus List are created by the individual user or “shared” to the user and can be amended on this screen.

 

  • Goals are set by users who have “Administrative” Access.
  • Print = Control “P” – Principals use during parent conferences and/or put into student’s file.

 

Leaver tab – Displays data from Fall PEIMS Leaver record for the year the student graduate, not the year the data was reported.

 

Graduation tab- Displays data from Fall/Summer PEIMS files for FHSP, Distinguished and Endorsements status for each year.

 

Title 1 tab –pulls from Summer PEIMS for both Title 1 Campus information, as well as students receiving specific title 1 serves. Example: Homeless.

5.1.2.Enrollment #

PEIMS Snapshot tab – Multi year program coding from Fall PEIMS.

 

PEIMS Summer – Program codes from current and historical Summer PEIMS files.

 

PEIMS Basic Attendance –Pulls from Summer PEIMS files by six weeks (reporting period).

NOTE: Locate Remote attendance and prior years by scrolling down.

 

SPED tab-Special Education specific data from Fall PEIMS

 

Restraint tab – Summer PEIMS files are the source for student restraint data.

 

CTE – Fall PEIMS for prior years. Starting 2020-21 CTE is not reported in Fall PEIMS

 

Cohort – TEA Cohort file(s) loaded from TEAL/Accountability for any student who has been placed in a 9th grade cohort.

  

5.1.3.Assessment #

Each tab under “Assessment” will pull data from the specific file for each test result(s) as the files are loaded into OnDataSuite/OnPoint file center.

5.1.7.PBM #

Performance Based Monitoring – PBM

If a student is counted in the numerator (Passed) and denominator (Taken) of a PBM indicator, they will be shown in yellow and detailed information will provide more information of the associated PBM indicator(s) will be listed

If a student failed for any indicator, they will be highlighted in red and detailed information will provide more information of the associated PBM indicator(s) will be listed

5.1.8.CCMR #

College, Career and Military Readiness (CCMR)

Three columns will display as follows:

  • College, Career, and Military Readiness (EWS)
    Overview of calculated uploaded raw data files used in the Early Warning System (EWS). These results follow the manual calculation requirements of the CCMR credit distribution process but are are not bound to all requirements.

Example: The manual requires only 12th Grade graduates be included for CCMR Credit point distribution, but this CCMR EWS report allows for the calculation of CCMR point accrual at all grade levels.

  • College, Career, and Military Readiness (ODS)
    Overview of calculated uploaded raw data files used in the A-F Domain 1 CCMR report. These results follow the manual calculation requirements of the CCMR credit distribution process to determine CCMR point accrual.
  • College, Career, and Military Readiness (TEA)
    Overview of officially released TEA CCMR report provided through the Texas Education Agency (TEA) TEAL report.

5.2.Staff Profile #

View staff profile – Locate by clicking on the “Staff ID”/ “View Profile” hyperlink.

    • On a Staff report or list
    • From using “Search” – top menu bar

NOTE: Account access to view an individual staff profile required.

 

  • Staff Overview tab –  Located in navigation window (left side/black box)
    • Staff demographics – Masking option as per account access
    • Focus List – Displays if this staff is currently in a focus list, and/or may add to a focus list from this location.

6.Support/Training #

TICKET SYSTEM – icon 

  •  Located at the top right portion of the OnDataSuite screen upon log in.
  • Please provide as much detail as possible, including a screen shot and detailed description of location of report, criteria used, and what specific issue is occurring.

MANUAL – Icon 

  • Directs user to the OnDataSuite user Manual that includes a search feature to enable user to quickly locate area(s) of information.
