New User Training – Dashboards

1.Training Overview #

This training is designed to provide detailed information of the basic functionality and location of the various Dashboards in OnPoint (OnDataSuite).

2.Accessing OnDataSuite #

Accessing OnDataSuite
Your LEA has selected OnDataSuite Administrator(s) that will provide the URL, User Name and Password for logging into the system.

Feel free to bookmark your specific OnDataSuite URL. Chrome is the preferred browser.

Forgotten Username / Password
Use the “Log in Assistance” tab, on the log in screen, or contact your OnDataSuite administrator.

3.My Account #

My Account

  • Located on top right of black menu bar- three horizontal bars (Hamburger menu)
  • Select My Account

 

 

 

 

 

 

  • Select “Your Profile” icon

Change your password. Type  New Password, Confirm Password,
and click “Update”

 

  • Select “Job Title/Areas of Interest” Icon

NOTE: Click on “Update Settings” to save changes.

 

  • Select “User Settings”

Click the “Show Me” button to  enable options for dashboard display.

Select the desired view. Maybe changed at any time.

  • Completed Trainings – certificate of completion.

4.File Center #

File Center – Located on the black menu bar at the top of the screen.

  • Data Sources – (Blue boxes) This is the location to upload files that populate/update dashboards.
    • PEIMS – is the source of the majority of the data ( Fall/Summer)
    • ETS/Pearson-forensic data
    • SIRS
    • ACT
    • TSIA
    • College Board

File Review – Scroll toward the bottom of the screen to view the files that have been uploaded into the system and will be viewed on the dashboards.

BEST Practice:  Know how current the data sets are and what has been loaded. Contact ODS administrators to load additional files as needed and as they become available.

5.Dashboards #

Dashboards provide an at a glance view of key aggregated data from the PEIMS and/or other files loaded in the file center.  Dashboards can be viewed at both the District or Campus level for multiple years, as account permissions allow.

To change the year selection click on “Information Year” drop down selection located in the right hand corner of the dashboard.

NOTE: The year selected will be applied to ALL the dashboards in this section.

  • Fall
  • Summer
  • Campus
  • Academic

BEST Practice: Check the year displaying for the dashboard.

5.1.Fall Dashboards #

Fall PEIMS Snapshot data (last Friday in October)

  • Change Year option – top right
  • Print – Use Control P
  • Student/Staff counts have drill down if your access allows.

5.2.Summer Dashboards #

Two subtab options to choose from when reviewing Summer PEIMS data.

  • Cumulative Information-Any student who had at least 1 day of attendance at any time during the regular school year will be included in the disagregated counts. (Companion to the Fall Dashboard)

  • Days Membership – provides a count of days in membership, present, and/or absent for students in various disagregated areas.

 

If permissions allow, click to drill down and view the lists of students included in the count.

5.3.Campus List Dashboard #

Fall and Summer PEIMS data are used to populate the counts for these 3 Campus Level dashboards.

  • Campus Organization – Data that is only reported at the campus level

  • Campus Student – Displays counts/percents of Fall/Summer areas. Drill down to see list of students.

 

  • Campus Staff – displays count and FTE percents for staff and retention/mobility rates for teachers.
    • NOTE: Hover over the title for a pop up description.

  • Campus level users will only see their campus.
  • District level users, can click on a campus to view one campus at a time.
  • Click on hyper links to drill down and view list of staff, if the users account has permission to view staff details.

 

5.4.Academic Dashboard #

The Academic Dashboard tab has 3 subtabs.

  • Attendance & Discipline percentage by reporting periods. ( Populated by Summer PEIMS files.)

    • Percent in Attendance/Percent of students who have a Discipline Incident
    • Flag if Goal is not met. ( Goals can be set by an ODS Admin only for both district and/or campus levels.)
    • Absentee/ Incidences (Discipline) count
    • Trends show the direction of the data from the prior six week period.

 

 

  • STAAR percentage by subject area
    • Percents will display in green if the goal is met
    • Percents will display in red if the goal is not met
    • Goals can be set by users who have administrative access.
    • Trends show the direction of the data from the prior year

 

  • TAKS/EOC Legacy may see sunset review.

6.OnPar #

-Use the drop down arrow beside “OnPoint” to select “OnPar”. The banner will change to green.

OnPar Dashboards offer 4 different subtabs to display your district’s most current TAPR data in graphical form.

NOTE: OnPar data is loaded by the OnDataSuite team

 

  • Overview – Includes Student counts, Ethnic Distribution, Graduation and Attendance data for your district, your Region, and the State.

  • STAAR 3-8  – Offers drop down options for Approaches, Meets and Masters for each of the subject areas test. Graph breaks down results for past 2 years by Ethnicity and Special Pops.

  • STAAR EOC tab offers drop down options for Approaches, Meets and Masters for each of the subject areas test. Graph breaks down results for past 2 years by Ethnicity and Special Pops.

  • Employees tab offers subtabs for Staff, Teacher Ethnicity and Experience for 3 most current years with population break downs at the bottom of the graph.

NOTE:  Print or down load any of the graphs – see top right screen for options.

7.OnView #

OnView is a component of OnDataSuite that allows districts to publish an interactive Dashboard to the district’s website for public viewing.

The data format/display is the same as OnPar, with the addition of a Campus level option.

NOTE: TAPR results used to populate this dashboard are released by TEA and uploaded by OnDataSuite staff.

8.OnBoard #

Dashboard created with School Board Members in mind.

 

OnBoard offers School Board members a dashboard view of high level information.

  • Settings allow the screen to display various areas.
  • Dashboard Help assist user with details of where data is originating
  • Year drop down feature provides historical views
  • View Details” link on the various boxes will display an underlying overview report.

9.Support/Training #

TICKET SYSTEM – icon 

  •  Located at the top right portion of the OnDataSuite screen upon log in.
  • Please provide as much detail as possible, including a screen shot and detailed description of location of report, criteria used, and what specific issue is occurring.

MANUAL – Icon 

  • Directs user to the OnDataSuite user Manual that includes a search feature to enable user to quickly locate area(s) of information.
