Fall PEIMS Staff and Finance Data Review/Audit

1.Getting Started #

The Fall PEIMS Staff and Finance Session will highlight information from the PEIMS FALL data submission.

 

System Log In Screen
•Login Name
•Password
•Click “Login”

Browser Support
•Chrome version 44 or higher – (Preferred Browser)

 

 

 

 

 

 

  • The LEA’s administrator(s) of OnDataSuite will create account/access and provide:
    • URL
    • User Name
    • Password

Access to the following needed to review Staff/Finance data:

    • SSN- for TSDS Edits
    • Student Aggregate Totals
    • Staff Aggregate Totals
    • Staff Details
    • Finance
    • Restricted
      • Date of Birth
      • Staff Payroll
      • Staff Base Pay

2.File Center #

Located on the black menu bar at the top of the screen.

 

  • Data Sources
    • District -PEIMS TSDS  – Fall PEIMS Interchange files -from Business/Finance Information System
    • NOTE: Once upload is complete, scroll toward the bottom of the screen, click on file to verify the interchange files loaded.
  •  Keeping data current is key to accurate reports so please contact your OnDataSuite Administrator ( and/or PEIMS Coordinator) if a “fresh” file needs to be loaded.
  • Every time a new file is loaded it is a complete overwrite (wipe/replace) of the previous file.

 

Note: A “Preliminary” file means that the data is NOT the “Final” file that will be sent to TEA therefore expect data to change.

3.TSDS Business Rules #

User will need  SSN (Social Security Numbers) acces to view edits.

Tab options

  • Business Rules Notifications
  • File Record Count Summary – Report
  • Excel Workbook – contains each edit/details on separate tabs
  • Campus – filter for specific campus
  • Submit

 

  • Click on the count of Fatals, Warnings or Specials

 

  • Click on the Business Rule Number to see the what/who has triggered the error.
  • Export the list to excel.

Best Practice – make corrections in the Business and/or HR System and re extract/export PEIMS interchange files. Then upload new files into OnDataSuite.

4.Dashboards #

  • Fall Dashboard:
    • Admin Listed – District/Campus
    • Student Total -View Snapshot totals and trends. Info can assist with adjusting budget areas as needed.
    • Special Services- Verify Instructional Settings (SPED)
    • Student by Program and Other Student Information- Ensure students are identified correctly for weighted funding

  • View staff profile by:
    • Locate staff from a staff list or by using “Search”

    • Clicking on the staff id or “View Profile” located on a Staff List.

7.Finance #

Finance Custom Reports: 

 

 

  • HB3 Funding – (*Report also  available  under  Student)
    • HB3 Compensatory Education – Eco Dis/Census Tiers (Revision)
    • This report’ only includes student’s with a GEO ID assigned.
    • To ensure students are not missed or falsely included, the two Fatal Edits should be resolved.
      • Fatal Edit : 40100-0190 checks for missing Student Census Block Group numbers on eligible students:
      • Fatal Edit : 40100-0191 checks for Student Census Block Group numbers reported on ineligible students:

 

 

Finance Report Center: (left side) Creating Ad Hoc Reports

Budget – Fall (PEIMS data file contains current year budget financial data as of snap shot day)

Criteria 1 = “Fund” + filter “199, 211”, etc

            Criteria 2 = “Function” + filter “11”

            Criteria 3 =  “Object” + filter “Expenditures”-6100 (payroll)

Criteria 4 = “Program Intent” or “Campus”

  • Throughout the year this will always provide a “static” picture of the budget approved at the beginning of the year.
  • Upper right change to previous years for a quick historical comparison.

8.OnPar #

Financial Data comes from reports released by TEA and is auto loaded into OnPar as it become available.

  • Select – Budget to view Fall data trends from PEIMS information.
  • See various criteria on “Reports” drop down tab”
  • Switch to “Per Pupil”, as desired.
  • Select “My Reports”. The default is “TAPR”
    • Choose – Profile “Staff Demographics”

Select Criteria for Report using Drop down options.
